Privacy Policy

This policy explains how Quotelogue ("we", "us") handles personal information when you use Quotelogue. We keep it short and plain on purpose. We do not sell your information and we do not show ads.

Two roles, so you know who decides what

For your own account, such as your name, email and how you sign in, we decide how the information is used, so we are responsible for it. For the information you add about your customers, we handle it for you and on your instructions, and you decide what goes in. If you use Quotelogue for your business, you are responsible for having a good reason to hold your customers' details and for telling them, where the law asks you to.

What we collect

  • Your account. Your name, email address, a scrambled (hashed) version of your password, your settings, and the details of two-factor sign-in if you turn it on.
  • Your workspace. Your business name, logo, address, currency, timezone, tax settings and the default text you set for your quotations.
  • What you add. Your customers (names, email addresses, phone numbers and any notes), your products and services, your quotations, and what happens to each one: when it was sent, opened, accepted or declined, and any reason a customer gives for declining.
  • Your customers' visits. When a customer opens a quotation link, we record that it was opened and when. When a customer accepts or declines a quotation, we also record their IP address and browser in our security log. We do not count automatic link previews, such as the ones WhatsApp makes, as a customer opening the link.
  • Payments for a plan. Card and local payments go through Paystack, and cryptocurrency payments through NOWPayments. We receive the reference, amount, currency and result of each payment. If you choose automatic renewal, we also keep the card type, the last four digits, the expiry date and a code from Paystack that lets us charge that card again. The code is stored encrypted. We never see or store your full card number or security code. For payments made by hand, we keep the note you send us.
  • Points and referrals. Your workspace's points balance and a history of each time points were given or spent. If you sign up with someone's referral link or code, we keep who invited you. The person who invited you sees your name, when you joined and whether they were rewarded, and nothing more.
  • Business pages and enquiries. If a workspace lists its business on the site, the words on its page are public. When a visitor sends an enquiry from a page, we keep their name, email or phone number, message and IP address, and pass the name, contact details and message to that business. We count how many times a page and its WhatsApp button are opened, without keeping who opened them. We use the IP address only to stop spam and abuse.
  • Reviews. If you write a review of Quotelogue, we keep its words, your rating, and the name and business you chose to show with it. It is only public after a person has approved it, and you can remove it at any time from the Reviews page. We also keep when we last asked you for a review, so that we do not ask too often.
  • Security records. The IP address and browser used when you sign in, change security settings, or take important actions in your account. We keep these to protect accounts and to look into abuse.
  • The contact page. The name, business name, email address and message you send us. Your IP address is used briefly to stop spam and is not kept with the message.

Cookies

We use only the cookies the service needs to work: one that keeps you signed in, one that protects forms from being submitted by other websites, and, if you choose "remember me", one that keeps you signed in for longer. We do not use advertising or tracking cookies, and we do not run third-party analytics on Quotelogue. If that changes, we will update this page first.

How we use it

  • To run Quotelogue: create your quotations, show them to your customers, track their progress and remind you to follow up.
  • To send you emails about your account: confirming your address, sign-in links, team invitations, alerts about your quotations, billing notices, and a weekly summary if you have it turned on. You can change which of these you get in Settings, under Notifications.
  • To take payment and manage your plan, and to give and count points and referral rewards.
  • To keep the service safe, stop abuse and fix problems.
  • To answer you when you write to us.
  • To meet our legal duties, such as keeping records of payments.

Who else sees it

  • Your customers see the quotations you send them, with your business details.
  • Visitors and businesses. Anyone can read a business page that is on the site. A business receives the enquiries sent to it.
  • Visitors can read the reviews of Quotelogue that we have approved, with the name and business their author chose to show.
  • Your team sees what your role in the workspace allows.
  • Companies that help us run the service: our hosting provider, our email delivery provider, and the payment providers named above. They may only use the information to do that job for us.
  • Our own staff, when they need to, to give you support, look into a problem, or manage billing.
  • Authorities, when the law requires it. If the business is ever sold or merged, the information may move to the new owner, who must keep to this policy.

Our providers may handle information in other countries. Where the law asks for it, we make sure it stays protected.

How long we keep it

We keep your information while your account is open. If you delete your account, and you own a workspace, the workspace and everything in it is deleted too; copies may stay in our backups for a limited time until they are overwritten. Payment records and security logs may be kept longer where we need them for accounting, security or the law. Contact messages are kept for as long as we need to answer them and a reasonable time after.

Your choices and rights

You can see and change most of your information yourself, in Settings. You can delete your account there too. Depending on where you live, you may also have the right to ask us for a copy of your information, to correct it, to delete it, to limit or object to how we use it, or to take it with you. To use any of these rights, write to hello@quotalogue.cloud. If you are one of our users' customers and want to see or remove what a business holds about you, please ask that business first, since they decide what they keep. If you are unhappy with how we handle your information, you can complain to your local data protection authority.

Keeping it safe

The service runs over HTTPS. Passwords are stored hashed, saved card codes are encrypted, and you can turn on two-factor sign-in. No system is perfectly secure, so please use a strong, unique password and tell us at once if you notice anything odd.

Children

Quotelogue is for businesses and is not meant for anyone under 18. We do not knowingly collect information from children.

Changes to this policy

When we make an important change we will tell you by email or in the app before it takes effect. The date at the top of this page shows when it was last changed.
